Your mission at Sitoo

Be the operational heartbeat of the marketing team - turn priorities into clear plans, run intake and Asana, and keep stakeholders aligned. You orchestrate execution across content, design, digital and events, using AI and smart workflows to triage requests, summarize updates, and automate routine steps so every campaign and asset ships on time with quality.


What you will do

  • Own intake and prioritization – act as the central point of contact, triage incoming briefs, fill gaps, set expectations and SLAs.
  • Plan and coordinate execution – translate weekly/monthly priorities into clear tasks and timelines; manage escalations and shifting deadlines.
  • Run Asana like a pro – create/enrich tickets, manage dependencies and templates, and keep boards accurate, current and easy to follow.
  • Drive cross-functional follow-through – track deliverables, nudge owners, and provide concise status updates to requestors and leaders.
  • Use AI to increase speed and quality - apply AI tools to triage briefs, summarize updates, draft runbooks and checklists, and automate recurring steps where it adds value (e.g. ChatGPT, Notion AI, HubSpot AI, Asana Automation).
  • Review and improve – run lightweight post-execution reviews, capture lessons learned and feed them into playbooks and processes.
  • Keep the house in order – maintain documentation, reports, asset libraries, folder structures and naming conventions.


What you’ll bring to the table

  • 2–3 years in marketing coordination/ops (agency or in-house; tech/SaaS is a plus) and a relevant degree or equivalent experience.
  • Operational discipline – stellar organization, short-term planning, multitasking and attention to detail.
  • Tool fluency – Asana and Notion; HubSpot (marketing automation/CMS); Google Workspace and Slack; comfortable coordinating via Figma.
  • AI-literate and curious - hands-on with AI for planning, coordination and QA; you write clear prompts, evaluate outputs critically, and know when to automate vs do it manually (e.g. ChatGPT, Notion AI, HubSpot AI, Asana Automation).
  • Clear communicator – excellent English (written/spoken); Swedish is a plus; confident at aligning diverse stakeholders.
  • Mindset – service-minded, structured, proactive and flexible; calm under pressure and unafraid to chase blockers.
