Role Summary

You will play a central and trusted role in the section management team and in supporting the section manager. In addition, you will support the section’s four global units, including one located in Germany, and provide administrative assistance to our Legal Unit.

 

Our section operates in an international environment, with daily collaboration across sites and cultures. The management team includes nine members based primarily in Sweden, and you will become a central enabler of our ways of working.

Job Responsibilities

In your role, you will:

• Act as a reliable and proactive administrative partner to the section manager and management team.
• Plan, coordinate, and follow up on section meetings, management team activities, and strategic deliveries.
• Manage calendars, travel arrangements, invoice handling, IT orders, and onboarding of new employees and consultants.
• Prepare meeting agendas and presentations, and ensure proper documentation and follow-up through meeting minutes and archives.
• Support our Legal Unit with administrative tasks.
• Be part of the assistant network within R&D, sharing best practices and ensuring consistency and quality across teams.
• Actively contribute to improving our ways of working and supporting an engaging office environment.

Who You Are

We are looking for you who;

• Is service-minded, structured, and solution-oriented with a strong sense of responsibility.
• Has excellent communication and organizational skills and thrives in a fast-paced, international setting.
• Is confident in working independently while being a natural team player.
• Has strong proficiency in Microsoft Office tools and digital collaboration platforms.
• Is fluent in English, both written and spoken.
• Is fluent in Swedish, both written and spoken

 

It is a bonus if you:

• Are fluent in German. 
• Have experience supporting global teams and multicultural environments
• Have worked within TRATON (including Scania, MAN, International (former Navistar) or Volkswagen)
