HR Project Management Officer

About the job

HR Project Management Officer

Our story goes back more than 150 years, to the chilly southern coast of Scandinavia. From our early success in Sweden and Denmark, we’ve grown into the world’s leading specialist producer of plant-based oils, employing more than 4,000 people across the globe.

We work with our customers to make the products you love even better. The oils we produce go into making your chocolate extra-creamy or putting the crunch into your croissant. And it’s not just food — we work across industries to make products that are higher quality, healthier and better for the planet.

Everything we do is about Making Better Happen™.

AAK LOCATION

This position is based at AAK Headquarters in Malmo.

About the role

The HR Project Management Officer plays a pivotal role in shaping and delivering key strategic and operational HR initiatives across the organization. This role ensures that global frameworks, policies, and processes are effectively embedded within Global Functions, strengthening alignment and impact across the business. You will lead and manage end to end HR project - from policy development and systems implementation to change management and employee engagement, providing the structure, clarity, and momentum needed to drive results. By applying strong project management expertise, you will create the backbone for effective HR partnering in a complex, global matrix environment. Reporting directly to the HR Director Global Functions, this position offers an excellent entry point for individuals with solid project management or PMO experience who are eager to grow their career in HR and make a meaningful contribution on a global scale.

Responsibilities

  •
Partner with business leaders to understand needs and recommend effective ways to implement and adapt global HR processes, policies, and systems in a complex matrix environment.
  •  Support HR leadership in designing pragmatic, fit-for-purpose solutions where global standards are not yet in place.
  •  Lead the planning, execution, and delivery of HR projects, ensuring initiatives are completed on time, within scope, and on budget.
  •  Establish and manage project governance, including plans, trackers, dashboards, and reporting routines, to monitor progress and demonstrate impact.
  •  Drive structured follow-up across initiatives, ensuring accountability, timely delivery, and measurable outcomes.
  •  Collaborate with senior leaders, HR colleagues, and business units to gather requirements, provide updates, and maintain alignment with organizational priorities.
  •  Develop and implement change management strategies to support adoption and embedding of new HR initiatives, tools, and processes.
  •  Strengthen HR foundations through accurate data management, reporting, and effective operational processes.
  •  Focus initially on Global Function; including Finance, IT, Legal, Commercial Development & Innovation, and Sourcing, Trading & Sustainability, with the potential to expand into a broader global remit.
  •  Influence project design, coordination, and follow-up without direct people or budget responsibility.
  •  Build clarity, alignment, and impact across diverse stakeholders through strong collaboration skills.
  •  Available to travel up to one to two times per month as required, and able to work on site at the Malmo office at least three days per week.

About you

  •
Master’s degree in Business Administration, Human Resources, Organizational Psychology, or a related field.
  •  Two to three years of experience in project management, PMO, or coordination roles; previous HR exposure is a plus but not essential.
  •  Demonstrated ability to structure, coordinate, and deliver projects within complex and fast-paced environments.
  •  Strong organizational and planning capabilities, with rigorous follow-up and keen attention to detail.
  •  Strategic and conceptual thinker, with the ability to translate frameworks into actionable, practical solutions.
Excellent communication and stakeholder management skills, with confidence in engaging and influencing senior leaders.
  •  Analytical and pragmatic problem-solver with a proactive, hands-on mindset.
  •  A background in a fast moving industry such as FMCG is preferred, experience in the food sector is a nice to have.
  •  Fluency in English (both written and spoken); additional languages are an asset.
